Fun4Road public website and web apps

Purpose. This policy explains how FUN4ROAD SRL processes personal data relating to visitors, customers, participants, suppliers and users of Fun4Road digital services, including www.fun4road.be, rally.fun4road.be, carte-gpx.fun4road.be and the Roadbook Live web apps.

- Identification and contact data: name, first name, company, email address, phone number, postal address and information sent through Wix forms or by email.
- Event data: registration, participation, vehicle, crew, preferences, specific requests, documents or exchanges required for organisation.
- Supplier and partner data: professional contact details, services offered, quotations, invoices and operational exchanges.
- Technical data: IP address, browser, device, connection date and time, technical logs, security, errors and actions required for the website to operate.
- Roadbook Live / GPX data: event or roadbook code, QR-code opening, track display, waypoints, tulips, notes and confirmation of the RGPD/GDPR information.
- Geolocation: the phone’s GPS position only when the user enables or authorises this feature in the browser or on the device.

3. Purposes
- reply to requests sent through the website, forms, phone or email;
- prepare quotations, contracts, bookings, events, roadbooks and Fun4Road services;
- manage participants, suppliers, vehicles, documents, messages and administrative follow-up;
- display the map, GPX roadbook, waypoints and navigation information;
- when authorised by the user, display their position on the map and enable certain assistance or safety features;
- secure the websites, prevent abuse, fix errors and keep limited technical evidence;
- comply with legal, tax, accounting and administrative obligations applicable to FUN4ROAD SRL.
4. Legal bases
Depending on the case, processing is based on performance of a contract or pre-contractual steps, consent, compliance with a legal obligation, or Fun4Road’s legitimate interest in organising its activities, securing its services and ensuring that events run properly. Active geolocation in the web app is based on the user’s voluntary action and on the permission given in the browser or phone.
5. Recipients and processors
Data is accessible only to authorised persons at Fun4Road and, where necessary, to technical or professional service providers involved in delivering the service: hosting, maintenance, Wix platform, OVH hosting, email, accounting, payment, insurance, operational event partners or legally authorised authorities. Data is not sold and is not used by Fun4Road for third-party advertising.
6. Hosting and transfers
The public website www.fun4road.be is operated through Wix.com. Fun4Road subdomains and tools may be hosted by OVH/OVHcloud, in particular rally.fun4road.be and carte-gpx.fun4road.be. Where providers located outside the European Economic Area are involved, Fun4Road relies on the safeguards provided by the GDPR and on the contractual commitments of those providers.
7. Retention periods
Data is kept only for as long as necessary for its purpose, then deleted, archived or anonymised. As an indication: contact requests are kept for the time needed for commercial follow-up; event data for the time needed for organisation, assistance and administrative follow-up; accounting and contractual data for the applicable statutory periods; technical logs for a limited period, unless a security incident or legal obligation requires otherwise. Any geolocation data is deleted or anonymised as soon as it is no longer needed for the event or assistance.
8. Security
Fun4Road implements reasonable measures to protect data: restricted access, passwords, professional hosting, backups, separation of administrator access, technical logging and maintenance best practices. As no system is completely invulnerable, Fun4Road limits the data processed to what is strictly necessary.
9. Your rights
Under the GDPR, you may request access, rectification, erasure, restriction, objection to processing, portability where applicable, and withdrawal of your consent for processing based on consent. Requests may be sent to info@fun4road.be. Proof of identity may be requested where necessary.
You may also lodge a complaint with the Belgian Data Protection Authority: dataprotectionauthority.be.

This policy may be adapted as Fun4Road services, tools or legal obligations evolve. The update date shown at the top of the page indicates the applicable version.
